Improved Custom Products in Orders

Add more information about custom products in orders.

We've made custom products in orders more flexible and easier to manage. Now you can:

  • add more details to custom products,

  • set the status (deducted / not deducted),

  • save a custom product to your catalogue in a few clicks.

These improvements are especially useful for businesses that regularly add one-off or non-standard products to customer orders, including auto repair shops, service businesses, workshops, retail stores, and field service teams.

For example, if a technician needs a part that isn't yet in the catalogue, they can add it directly to the order, enter its SKU or code, and continue working. Later, a manager can save that item to the product catalogue without re-entering the details. This saves time, keeps order data organised, and helps your catalogue grow naturally with the products your business actually uses.

Add More Details to Custom Products

When creating a custom product in an order, you can now fill in additional fields:

  • Code

  • SKU

  • Barcode

Unlike products in the catalogue, these values don't have to be unique, so they can be reused or match other items when needed.

You can also quickly copy the product name, SKU, or Code. This is useful when sending an SKU to a supplier or looking up the part in another system.

If a custom product has an SKU or Code, it is now displayed beneath the product name in the order, just like products from the catalogue. This makes it easier to identify similar items, verify the correct part, and reduce mistakes while processing an order.

Set the Deduction Status

Previously, all custom products in orders were deducted by default. Now, when creating or editing a custom product, you can choose whether it is deducted or not deducted.

For example, if a required part hasn't arrived yet, you can add it to the order as a non-deducted product. Once the part arrives, simply change its status to Deducted.

This makes it easier to see whether a custom product has been deducted or is still waiting to be received.

Please note that custom products still exist only within the order where they were created. They don't have a product card in the product catalogue, aren't stored in stock, and don't take part in inventory management like regular catalogue products.

Save Custom Products to the Product Catalogue

If you want to add a custom product to your product catalogue, you can now do it in just a few clicks.

All available information is transferred automatically, including name, description, code, SKU, unit price, warranty, and more.

To save a custom product to the product catalogue:

1. Open the custom product editing window in the order.

2. Click Save to Catalog. This button is available only to users with the Can create new products permission.

3. Review the transferred information, make any changes if needed, and click Create.

Once the product is created, the custom product in the order is automatically replaced with the new catalogue product. The quantity, price, discount, taxes, warranty, assignee, and item comment are all preserved.

Please note that the newly created catalogue product remains non-deducted in the order. Creating a product in the catalogue does not automatically add it to stock or deduct it from inventory.

This means you don't have to create a product in the catalogue before adding it to an order. Simply add the item while working on the order, include its Code or SKU if needed, and continue with the job. If you later decide to purchase, stock, or reuse that product, you can save it to the product catalogue without entering the information again.

This saves time, reduces repetitive data entry, and helps your product catalogue grow with the products your business actually uses.

What’s Next

This update is the first step towards even better parts management in RO App.

We're already working on Parts Lookup, which will let you search for and add parts directly while working on an order, even if those parts aren't yet in your product catalogue.

The next step is Parts Sourcing, making it easier to compare supplier offers and purchase the right parts at the best price.
