Invoice Item Grouping

Now you decide how order items appear on the invoice for your client.

Written by Hanna

Previously, an invoice always mirrored the structure of the order it was created from: every job or product automatically became a separate line. That's not always convenient – invoices are often issued based on an agreement or a reporting period, not the exact structure of each order. As a result, you either had to edit the invoice manually or accept unnecessary detail.

For example, if you need to issue one invoice for four orders from May – as a single line Service package for May – without listing every job and product, you can now do this right when creating the invoice.

Three display options

A new Order display field is now available in the invoice creation and editing dialog, with three options:

  • Detailed – each order item is added as a separate invoice line.

  • Simplified – each order becomes a single invoice line.

  • One line – orders are attached to the invoice as a source, while you create the invoice lines manually.

The selected mode also affects document templates. The {Invoice Table} variable always displays invoice items according to the selected mode. The {Invoice Table Grouped} variable doesn't depend on this setting and displays items the same way as before.

If you choose One line, it also affects the {Product Name} variable: it will display not a specific product or service, but the order number or the name you entered.

Regardless of the selected option, the invoice always keeps its connection to the orders it was created from – you can go to them at any time.

Default value

Nothing changes for new invoices – the detailed mode will still be selected by default, and you can switch to a new format whenever you need it.

You can also set the default mode for new invoices in Settings → General → Invoices.
