In the RO App, resources can be grouped by type and used to manage availability when scheduling client bookings.
For example, for a salon, you can create a resource type “Treatment Room” and add specific resources to it: “Treatment Room 1”, “Treatment Room 2”, and “Treatment Room 3”. A single resource type can be used across multiple company locations.
Resource Type and Resource
The system uses two related entities:
Resource Type — groups resources that serve the same purpose. For example, the “Treatment Room” resource type, the “Massage Room” resource type, and the “Lift” resource type.
Resource—a specific instance of this type. For example, “Box 1” or “Box 2.”
A single resource always belongs to a single type.
Important: A resource type is created and edited at the company level, not at the individual location level. A single type can be added to multiple locations at once.
Creating a Resource Type
To create a resource type, go to the Settings > General > Bookings section and follow these steps:
1. Click + Resource Type
2. When creating the resource type, specify:
the name of the resource type;
the locations where it will be used;
the number of resources for each location.
For example, if you specify 3 resources for the “Box” type, the system will automatically create:
Box 1, Box 2, Box 3.
This way, there is no need to create the same resource type separately for each location. Individual resources can be added or edited from the company settings or from the page of the corresponding location.
3. Automatic Resource Assignment
If the required resource type is configured for a service, RO App can automatically assign a specific available resource when creating a booking.
For each resource type, you can select an automatic assignment method:
Even distribution — (default) — the system selects the least-utilized available resource, ensuring balanced utilization of all
Maximum utilization — the system selects the most-utilized available resource so that other resources remain available longer.
For example, if a service requires the resource type “Office” and the company has three offices, the system will automatically select an available office when creating a booking, in accordance with the selected strategy. If necessary, you can manually change the assigned resource.
Linking Resources to Services
For each service, you can specify which resource types are required to perform it.
For example:
“Massage” → Massage Room;
“Car Repair” → Lift;
“Garage Space Rental” → Garage Space.
You can add multiple resource types to a single service. If the same resource type is added to a service multiple times, the system must reserve the corresponding number of distinct resources when creating a booking. You cannot add multiple resources of the same type to a single service.
Please note: Resource types are linked directly to services. It is currently not possible to configure this linking for an entire service category.
Resources in Bookings
You can use one or more specific resources for a booking.
When selecting resources manually, the user sees them grouped by type. The resource type is only a grouping header and cannot be selected separately—you must select a specific resource.
If there are multiple resources for a single booking, they are displayed in separate rows on the calendar, but all remain part of the same booking.
When a Resource Is Considered Booked
A resource is considered booked if there is another booking for that same time slot using that resource, and that booking has a status other than:
Completed;
Canceled;
No-Show.
If all resources of the desired type are booked, the system displays a warning that some resources are unavailable. When an employee creates a booking manually, the booking can be saved even if no resources are available.
On the public online booking page, the client does not see or select a specific resource. The system assigns it automatically. If no suitable resources are available, it is not possible to create a booking for that time slot.
