Previously, to find a replacement part for a client’s car, you had to leave the work order and search for the part separately. Now you can do this right within the work order: the system connects to the AVTO.pro catalog, finds the needed part by name, part number, VIN number—and you can immediately add it to the work order as a one-time product. This saves time on the initial selection and eliminates the need to switch between multiple systems.
Important: The actual purchase of the part does not take place here. RO App only helps you find and add the part to the work orders—you’ll need to go to the AVTO.pro website to view specific offers from sellers and complete the purchase.
What you need to set up in advance
For this feature to work, you’ll need two things:
1. Integration enabled. Go to Settings > Integrations > Lookup and make sure the Parts Lookup integration is active. If it’s disabled, the parts lookup button simply won’t appear in work orders.
2. Required access permissions:
permission to edit work orders and add products to them;
permission Can add custom products outside the Catalog—to add products outside the catalog. Without this permission, you won’t be able to add a found spare part to the work order, even if the search works.
How to add a spare part to a work order
1. In the client’s work orders, go to the Products and Services tab and click the Parts Lookup button. A separate search field will open.
2. In the search field, you can enter any of the following:
the part name;
the part number or code;
the vehicle model;
the VIN.
If the client’s vehicle VIN number is already specified in the work orders, the system will automatically populate these fields—you won’t need to enter them manually.
3. The system identifies the vehicle for which the spare part is being selected.
If AVTO.pro has unambiguously identified the vehicle variant, a list of parts is displayed immediately.
If there are several possible variants, a list of options with filters (fuel type, horsepower, etc.) will appear. You must select a specific vehicle variant before proceeding to the parts.
The selected car is displayed at the top of the search block—there you can see the model, generation, model years, engine, horsepower, and fuel type. If you need to change your selection, click × next to the car’s card—the system will let you select a car again.
4. Review the list of parts. The system displays parts as returned by AVTO.pro: categories, subcategories, and specific items within them. For each part, the name and lot number are displayed.
If the search field is empty—all available categories for the selected car are displayed.
If a specific query is entered—only the items that match it are displayed.
Next to each part, there are buttons for additional actions:
Copy—copies the part code to the clipboard. This is convenient when you only need the part number without adding it to work orders.
Open on AVTO.pro—opens the page for this part on the AVTO.pro website in a new tab. There, you can view specific offers from sellers and, if necessary, complete a purchase—outside of RO App.
5. Select the desired part.
Click on an item in the list—a window for creating a custom product in the current work order will open. It is already partially filled in with data from AVTO.pro:
the part name is automatically entered into the Name field;
The part number is entered into the Code field.
Here you can manually adjust any details—quantity (the product is added with a quantity of 1), price, cost price, write-off status, etc.—before saving. The product is added as a custom product in this work order only, without being automatically deducted from Inventory; thus, the part is included in the work order, but the Inventory balance remains unchanged.
Please note: The spare parts search works independently of the company’s catalog. A product selected via AVTO.pro is added as a custom product, even if a similar product already exists in your catalog. To add an existing product from the catalog, use the standard search in the “Labor, Service, or Product” field.
Once you've added a product to the work order, you'll see its total and can negotiate it with the client and even receive a prepayment. If needed, you can later add the part to your company's product catalog.
After that, all standard workflows for managing products and supplier purchases in the RO App become available for it. For example, you can add it to a purchase order directly from the customer’s order. This allows you to organize the purchase and delivery of the necessary parts even if they are not currently in stock.
