If your business works with international clients and accepts payments in various currencies, the Currencies section will help you flexibly configure your financial processes.
In this section, you can add the necessary currencies, manage current exchange rates, and track their history.
Please note:
The company’s general ledger is tied to the base currency. You cannot change it here, but you can configure how it is displayed or add additional currencies.
To work with this section, an employee must have the Finance permission enabled in the Settings permissions block.
☝ Currently, the system supports creating additional currencies, creating financial accounts in a currency other than the base currency, as well as depositing funds into them and exchanging currencies. Features for processing payments for work orders, invoices, or sales, and setting prices for products and services in multiple currencies will be added in future updates.
Base currency
On the Settings > Finance page, in the Currencies section, the company’s base currency is specified—this is the currency used by default in the system.
You cannot change the base currency yourself, but you can edit how it is displayed (symbol or format). Don’t forget to save your changes.
If you need to set a different base currency, contact the support team via chat.
In addition to the base currency, you can add additional currencies to use within your company.
How to add a currency
Adding a currency in the Finance settings
1. On the Settings > Finance page, in the Currencies section, click + Currency.
2. Select the desired currency from the list.
3. Specify how it will be displayed in the system—the currency symbol and its position relative to the amount.
4. The system will automatically populate the exchange rate relative to the base currency. If necessary, you can edit the rate manually. When entering the rate, the system displays the conversion direction in the format: 1 [additional currency] = [rate] [base currency]. This helps ensure that the rate is entered in the correct direction.
The exchange rate can have up to six decimal places.
To determine the exchange rate, RO App uses the Frankfurter API. If necessary, you can change the source for determining the exchange rate via the API.
5. Save the new currency.
Adding a currency when creating an account
If you create an account in a currency that is not yet in the currency table, the system will add it automatically—with the exchange rate current at the time the account is created.
After saving, the system:
adds the currency to the table of active additional currencies;
saves the entered exchange rate as the current rate;
creates the first entry in the exchange rate history—with the date and time, the employee who entered it, and the exchange rate value. This entry is permanent.
Additional currencies table
All active currencies are stored in the additional сurrencies table. For each currency, it displays:
currency name;
current exchange rate;
date and time of the last rate change.
How to edit an additional currency
1. Open the desired currency on the Settings > Finance > Currencies page by double-clicking it.
2. In the dialog box that appears, you can change:
how the currency is displayed;
the exchange rate.
3. Enter the desired value and save.
Right there in the dialog box, you’ll see the full history of exchange rates for this currency: when and by whom changes were made, and what the exchange rate was each time. The most recent entries are at the top.
What happens when you save changes:
if the exchange rate has changed—a new entry appears in the history, and that entry becomes the current one;
if the exchange rate is the same as before—no new entry will be created.
How to delete an additional currency
Open the desired currency on the Settings > Finance > Currencies page by double-clicking on it. Click the delete button in the lower-right corner and confirm the action.
You cannot delete a currency if it contains at least one financial account. First, delete all financial accounts in that currency.
After deletion, the currency does not disappear from the system entirely—it is hidden from the list of active currencies and is no longer available for selection. All data associated with it (exchange rate history, as well as all accounts and transactions where this currency has already been used) remains stored in the system.
To regain access to this data, you must restore the currency—that is, add it back to the list of active currencies. This ensures that old financial documents created in this currency are displayed correctly, without any data loss.
