Payment Methods: How to Speed Up Payment Processing in Documents
What Are Payment Methods
Payment methods are pre-configured options that clients use to pay for work orders, invoices, and sales: cash, credit card, bank transfer, etc. You set them up once and then select them in documents with just a few clicks, without having to enter the details manually each time.
Why are they needed?
Faster payments. When creating a document, you don’t need to specify where the money should be credited. The system already knows this from your settings: just select the payment method.
Fewer errors. Each payment method is linked to a specific financial account, so funds won’t end up in the wrong place due to carelessness.
Accurate tracking of funds. Payments are automatically credited to the appropriate financial account. You can see how much was received in cash, how much via card, and how much into the checking account.
Flexibility for different locations. Each location (store, branch, point of sale) can have its own bundle of payment methods enabled. For example, a retail location might accept cash and card payments, while an office might only accept non-cash payments.
Where payment methods are used
Activated payment methods are available in the payment window for the following documents:
work orders;
invoices;
sales.
How to work with payment methods in documents
You create or open a document (work order, invoice, or sale).
Proceed to the document’s payment screen.
In the payment window, select one of the payment methods activated for your location.
Confirm the payment. The funds are automatically credited to the financial account linked to that payment method.
Tips
Activate only the payment methods that are actually used at your location. This will make the list in the payment window shorter and more convenient.
If the same payment method is used at different locations, make sure it’s linked to the correct financial account at each one.
If the payment method you need isn’t in the payment window, check whether it’s enabled for your location.
