In this article, you'll learn how the task counter works, how to filter and sort tasks, and how to edit or remove them. It also covers tracking task activity and restoring deleted tasks through the Activity Log report.

⭐ This feature is available starting with the CRM+POS subscription plan.

In the “Tasks” module, you can work in two views: Table and Board. The Table view is best when you need to review many tasks at once, sort them, and update them quickly. This article covers working with the Table view.

Tasks table

In the table, tasks are displayed as a list, with one row per task. To work in this view, select “Table” on the “Tasks” page.

Configuring columns

You can change the set of columns to fit your needs. For example, add a column with the task description or with a linked record (an order, an inquiry, or a customer) to see the context without opening the task.

Please note: tasks with the “Done” status are not shown in the table by default, so they don’t distract you from your current work. To see them, enable the corresponding value in the status filter.

Bulk actions in the tasks table

In RO App, you can change the parameters of several tasks at once using bulk actions. This lets you update information quickly without opening each task individually.

To do this, follow these steps:

  1. In the tasks table, select one or more tasks you want to change using the checkboxes.

  2. Once tasks are selected, an Actions panel showing the number of selected tasks appears at the bottom of the table.

  3. Click Actions and choose the parameter you want to change:

    • Status — change the status of the selected tasks.

    • Assignee — assign a different employee to carry out the tasks.

    • Priority — change the priority of the selected tasks.

    • Due date — set a new deadline.

  4. Specify the desired value and confirm the changes.

Please note: to cancel your selection, click the cross next to the counter of selected tasks.

All changes are recorded in the history of each individual task, so you can always see who made them and when.

Badges for quick task selection

Above the tasks table, there are badges that help you quickly filter tasks by the criteria you need. Click a badge to view the tasks that match its conditions:

  • My tasks — tasks where you are the assignee.

  • Overdue — tasks whose due date has already passed.

  • This week — tasks due during the current week.

  • Created by me — tasks you created.

Badges help you find the tasks you need faster and focus on those that require attention.

Filters

To narrow down the selection, use filters. You can filter tasks by:

  • creation date;

  • author;

  • status;

  • assignee;

  • priority;

  • due date.

Filters can be combined with each other, as well as with badges and search.

For example: to deal with the most important among overdue tasks, select the “Overdue” badge and add the “High” priority filter.

Searching on the Tasks page

To search for tasks, use the search field above the table. To jump to it quickly from the keyboard, press the “/” key.

Search can be used together with badges and filters — it will search only among the tasks that match the selected conditions.

Deleting a task

To delete a task, double-click it and then click the delete button. You can delete both “Completed” tasks and tasks that are “In progress”.

Deleted tasks can be restored in the “Event Log” report.

To do this, generate a report for the “Task deleted” event. Find the deleted task and click the “Restore” button.

FAQ

Where did the completed tasks go?
They are hidden in the table by default. To view them, select the “Done” status in the status filter.

Why can’t I change the assignee or status in a table row?
Most likely, your role doesn’t have the corresponding access permission, or the transition from the current status to the selected one is not allowed. Contact your account administrator.

Can I combine several filters?
Yes. Filters can be combined with each other, as well as with badges and search.
