Microsoft Outlook Integration for Sending Emails from Your Own Address

Send emails to clients manually or via automated notifications from your Microsoft Outlook account

We’ve got great news — the Microsoft Outlook integration is now available in RO App, allowing you to send emails automatically and manually from your own mailbox!

The integration is available on all subscription plans with the following limits:

  • Hobby and Startup plans: connect 1 account

  • Business and Enterprise plans: connect up to 10 accounts

With the Outlook integration, you can:

  • build client trust by sending emails from your own domain;

  • centralize communication in RO App;

  • separate email channels across teams or business areas.

How it works

After connecting Outlook, you will be able to:

  • set up automated email notifications from your corporate mailbox;

  • choose your Outlook account when sending emails manually;

  • use different email accounts for different tasks or teams (on Business and Enterprise plans).

Connecting Outlook

To connect Outlook:

  1. Go to Settings > Integrations.

  2. Find Outlook in the Emails section and click Configure.

  3. Connect your Microsoft account and grant the required permissions.

  4. Specify connection name and employee access (who can use this email for sending).

For a quick and correct setup, follow the step-by-step Outlook connection guide. After that, the account will be available in notification settings and when sending emails manually.

Setting up automated notifications

Once Outlook is connected, you can use it for automated emails:

  1. Go to:

    • Settings > External Notifications (for clients), or

    • Settings > Internal Notifications.

  2. Create or edit an email notification.

  3. Select the required Outlook account as the sender.

Note: To send emails to clients, their profile must include consent to receive communications.

You can:

  • set consent manually for each client; or

  • enable automatic consent in Settings > General.
