Other System Updates in April: Bookings on Orders Calendar and More

View bookings on the orders calendar, use asset variables in invoice templates without tables, print inventory transfers with or without prices, and export transfers with full product details.

Bookings on the Orders Calendar

Previously, orders and bookings could only be viewed on separate calendars. However, for many businesses, bookings are part of the order (ticket/job) workflow and are handled by the same employees. That’s why bookings are also available on the orders calendar now.

To enable this, go to the Workflows module, open Calendar settings and check Show Bookings.

Bookings will appear in the calendar as translucent entries. This helps you:

  • take existing bookings into account when scheduling orders,

  • instantly see overlaps between bookings and orders for the same employee or resource.

You can also open any booking directly from the calendar and make changes if needed.

Asset Variables in Invoice Templates without Tables

Previously, asset (device, vehicle, etc.) variables could only be used inside tables via the {Invoice Table Grouped} variable. This works well when generating invoices for multiple orders with different assets, but is limiting for single-order invoices.

Now, you can use asset variables outside of tables when creating an invoice for a single order — making your templates more flexible and easier to design.

Note: If you create an invoice for multiple orders without using a grouped table, the document will display asset data from the first order in the list.

Inventory Transfer Printing without Prices

Previously, inventory transfer printouts always included financial data (prices, costs, and amounts) and were available in landscape format.

Now, you can also print transfer documents:

  • without financial data,

  • in a portrait layout.

This is useful for operational or logistics workflows where pricing information is not required.

Product Details in Transfer Export

Product details are now included again in inventory transfer export files.

When exporting transfer data, your file will contain key product information such as:

  • name,

  • barcode,

  • SKU,

  • and other related details.

Creating Person and Organization Contacts with the Same Phone Number or Email

In RO App, you can prevent duplicate contacts by restricting the use of the same phone numbers and emails in Settings → General. Previously, this restriction applied to all contacts regardless of type — each phone number or email could only be used once.

Now, we’ve refined this logic. Since a person and their organization may share the same contact details, the restriction is applied separately for each contact type.

This means you can create one person and one organization with the same phone number or email. However, you still won’t be able to create multiple people or multiple organizations with the same contact details.

Public and Private Comments for Products and Services in Orders, Estimates, and Other Documents

We’ve expanded how comments work for products and services in RO App. You can now not only add comments to items in orders and estimates, but also choose whether each comment is public or private.

This helps you share important details with clients while keeping internal notes visible only to your team.

When adding a comment to a product or service in an order or estimate, choose the visibility type:

  • Public — visible to clients on the public order or estimate page and included in printed documents.

  • Private — visible only to employees inside the system.

For example, use public comments for care instructions, service details, or delivery notes, and private comments for internal reminders or technical notes.

Note: The {Product Comment} variable in printed documents now works only for public comments.

You can now also add item comments in other documents across the system, including sales, invoices, bookings, purchase orders, postings, and more.

In these documents, public comments will also appear in printed documents, helping you provide clear details wherever needed.
