We've updated how address fields work in RO App to make address data more flexible, searchable, and compatible with external services.
Previously, addresses were stored as a single text field. While this worked for basic use cases, it limited document customization, made searching more difficult, and created challenges when integrating with services that require addresses in a structured format.
Now address fields can store separate address components, helping businesses work with addresses more efficiently and adapt them to local requirements.
What's New
Address fields now support the following structure:
Country
State / Region
City
Address Line 1
Address Line 2
Postal Code
Note
This allows you to store address information in a more organized way and use individual address components when needed.
New Address Variables for Document Templates
When using system address fields, you can now insert individual address components into document templates.
Available variables include:
Full address
Country
State / Region
City
Address Line 1
Address Line 2
Postal Code
This gives you more control over how addresses appear in invoices, estimates, work orders, and other documents.
Please note: individual address component variables are available only for system fields of the Address type and will not work with custom fields that use the same field type.
Search by Address
Address information is now searchable across supported entities.
You can search using:
a complete address;
part of an address;
individual address components such as city, state, country, or postal code.
For example, searching for "London" will find records where this value is stored in the city or in the region field.
This makes it easier to find clients, assets, and orders associated with specific locations.
New Billing Address Field for Contacts
We've also added a separate Billing Address field to contacts.
This allows businesses to store billing addresses independently from other address information and use them in financial and document workflows.
Migration for Existing Accounts
To ensure a smooth transition, existing address values remain unchanged.
For existing accounts, current address fields continue working as text fields unless you decide to switch them to the new Address type.
Please note that after changing the type, data from this field will not be transferred automatically. So if you need to transfer data from the old Address field, please contact us via Support chat.
New accounts will use the structured Address field by default.
We have also automatically pre-filled the new contact field “Billing Address” with data from the “Address” field. We recommend checking the information in the “Billing Address” field and correcting the data if needed.
How to Use Structured Addresses
You can add and configure Address fields in Settings > Forms Editor.
System address fields are available for the same entities as before, including:
Orders and Estimates
Contacts
Assets
Inquiries
Custom fields with the Address type can be added to all available entities.
When viewing records, addresses are displayed in a compact format, while clicking the address opens a dedicated window for editing all address details.
What’s Coming Next
In the upcoming updates, you’ll be able to:
Transfer data from the “Billing Address” field when integrating with QuickBooks, Xero, and E-Invoicing.
Add a new “Shipping Address” field for clients.
