How to Accept Payments with Your Phone: Tap to Pay by Square Guide

Learn how to set up Tap to Pay by Square to accept contactless card and digital wallet payments using only your smartphone

Written by Xenia

Speed and convenience in processing payments are what drive client loyalty today. From now on, RO App users no longer need to buy or rent bulky physical POS terminals. Thanks to integration with Square’s Tap to Pay technology, you can accept contactless payments via cards or smartphones directly through your smartphone.

You can accept payments either directly from the mobile app or by initiating a request through the web version.

❗This feature is currently available for Android devices. Support for iOS will be available soon.

Why is this convenient?

  • Zero equipment costs: Your smartphone completely replaces a physical POS terminal—no more costs for purchasing, renting, or maintaining extra devices.

  • Mobility and speed: Salespeople or couriers can accept payments with a single tap right at the client’s location, eliminating lines and speeding up service.

  • Error-free automation: Payment data is instantly synced between the app and the web version, completely eliminating human error.

In this article, we’ll take a detailed look at how to set up the integration and how the payment process works, from initiation to successful completion.

What You’ll Need to Get Started

  • A Square account and a merchant connected to the RO App: You must have an active Stripe account with the terminal’s location configured.

  • An NFC-enabled smartphone: The device must support contactless payment technology, and the NFC module must be enabled in the phone’s settings.

  • The RO App installed: The latest version of the app for Android and iOS, through which you will initiate payments and accept payments.

  • App permissions: Bluetooth access must be granted, and push notifications must be enabled in your smartphone’s settings to ensure proper device synchronization.

Step 1. Install and log in to the RO App

1. Download the RO App and log in to your account.

2. Be sure to enable all push notifications from the app and grant the app access to Bluetooth on your smartphone.

Step 2. Connect your Square terminal to the RO App

1. In the RO App, go to Settings > Integrations > Online Payments, open the Square integration, and select the desired merchant.

2. Enable the “Enable In-Person Payments” option and select the Tap to Pay payment method.

3. Save the merchant and integration settings.

How It Works

When creating a payment (work orders, sales, or invoices) in the web version or in the RO App mobile app, if a merchant with the Tap to Pay method is connected to the selected account, two options appear:

  • Create — registers a regular payment to an invoice

  • Accept (on the web) / Tap to Pay (in the mobile app) — initiates a contactless payment via a smartphone.

How to Accept a Payment via Tap to Pay

In the web version:

1. In the payment creation window, click Accept.

The employee who created the payment will immediately receive a push notification in the RO App mobile app.

2. Tap the notification—the payment window will open in the mobile app.

3. The client must hold their card or device against the back of the smartphone (in the NFC module area). Wait for the transaction to be confirmed.

💡 Note: For the payment to be successfully registered in both systems (Aquare and RO App), the payment must be completed while the payment waiting window is still open in the web version. After this time has elapsed, the request will be canceled.

After a successful payment, the RO App will display the confirmation Payment Successful, and the payment waiting window in the web version will close automatically. The payment will be credited to the account.

If the payment fails, the payment waiting window will display Transaction failed, and the payment creation window will remain open. You can initiate a new payment request by tapping Try Again.

In the mobile app (currently available only on Android):

1. In the payment creation window, tap Tap to Pay.

2. The payment window will open automatically.

Important: When accepting a payment via Tap to Pay, the system needs time to initialize the NFC module on the device. If the feature has not been used for a long time, the first payment may take up to 10 seconds to start. After that, NFC remains active, so subsequent payments will be processed instantly.

3. The client should hold their card or device against the back of the smartphone (in the NFC module area). Wait for the transaction to be confirmed.

After a successful payment, you will automatically be redirected back to the app, and the payment will be credited to your account.

If the payment fails, you will be redirected back to the payment creation window, where you can resubmit the payment request.

Canceling a Payment

You can cancel a payment as follows:

  • Automatic – a payment may be automatically canceled if it is not paid by the due date.

  • Manual in the web version of the RO App – you can close the payment pending window;

  • Manual in the RO App mobile app – while the payment is pending, you can cancel it or close the app;

Note: If you close the payment waiting window in the web version, the mobile app will continue to wait for payment until the waiting period expires. What if you make the payment during this period?

After canceling, you can try again or make the payment manually.

Tap to Pay Square Transaction Fees

Transaction fees are set by Square. The amount depends on the country where your account is registered, the card type, and the terms of your pricing plan. You can view the current rates on the Square website.
