How to send client notifications in different languages

Learn how to add translations to notification templates and send emails and SMS messages in a language the client understands

If you run an international business, your clients may speak different languages—and each of them wants to receive notifications in a language they understand. Now you can add translations for email and SMS notification templates and specify the communication language for each contact so that the system automatically sends messages in the correct language. If a translation isn’t available, the notification will still be sent—just in the default language.

Step 1. Enable the “Language” field on the contact card

2. Add the Language field—on the contact card, it appears at the bottom of the Contact Details block.

This field also appears automatically as soon as you add at least one additional language to at least one external notification template—and immediately displays the default language, i.e., the one set in the Document Language field on the Settings > General > Regional Settings page.

If you later delete all additional language versions of the templates, the Language field does not automatically hide from the contact card—you can only remove it manually via the Form Editor.

Step 2. Set the communication language for the contact

Open the desired contact and, in the Language field, select the communication language for that contact.

Notifications sent to the client will be in this language if a corresponding translation exists for the template. If no translation is available, the notification will be sent in the default language.

When merging two contacts, the language of the contact selected as the primary one is retained.

Step 3. Create language versions of the template

1. On the Settings > External Notifications page, start creating a new template or edit an existing notification text template (Email or SMS).

2. Click + Language.

3. Select a language from the list. A new tab for that language will appear in the template—next to the default language tab.

4. Fill in the template text in the default language (if this is a new notification) and the translation of the template:

  • The Title field is common to all languages, as it is the internal name of the template.

  • The Subject (email) and Content (email/SMS) fields are unique to each language tab.

You can fill in the translation manually or use machine translation. Click Translate—and Gemini will generate a translation based on the text from the default language tab. If text has already been entered manually on this tab, the system will first ask for confirmation—and will replace the text only after you agree.

After auto-translation, be sure to review the translations and save the template.

Important: Changing the document language does not automatically translate template text. If you change the value of the Document Language field in company settings, you’ll need to translate the templates yourself.

If your templates do not yet contain any translations, changing the document language will have no effect. However, if at least one translation has already been added, changing the document language will only rename the default tab in the templates—the text will not change, and the system will remind you to review it.

You can delete any added translation—if the tab is empty, it is deleted immediately; if it contains filled-in fields, the system will first ask for confirmation.

In the table of external notification templates, there is a column labeled Additional Languages, which lists all languages added to the template, separated by commas. However, each language version is not a separate template but part of the same template; therefore, no separate access rights are required to work with languages: the same rights apply as for editing notification templates in general.

Step 4. Send notifications

Manually (from a contact card, work orders, inquiries, etc.)

When you send a notification manually, a Language field appears in the submission form—immediately after the Template field—but only if the selected template has more than one language version. If there is only one language, the field is not displayed.

If the contact’s communication language matches one of the template’s languages, it is automatically selected; if there is no match, the default language is selected. If necessary, you can manually select another available template language before sending.

Automatically (reminders, birthday greetings, and other event-based notifications)

If a contact has a communication language specified, the system first searches for a translation of the template in that language and, if found and the required fields are filled out (email: Subject + Body, SMS: Body), sends the notification in that language.

In all other cases—where a translation is missing, incomplete, or the contact’s preferred language is not specified at all—the notification is sent in the template’s default language, as before.
