Easily customize your public estimate page in RO App to showcase essential details for clients. This guide will help you set up the page appearance, configure approval options, and automate notifications—making it simple for clients to review, accept, or decline estimates directly.
Step 1. Customize the appearance of the public page
On the Settings > Public Pages > Work Order/Estimate Page page, in the Appearance section, you need to configure:
Page Design – colors, background, language selector.
Header – logo, name, address, email, company description.
Products and Services – separate tables, display of zero prices and discounts.
Other – order status, asset photo, deadline, additional information, and recommendations for the client.
Save your settings.
Step 2. Configure estimate acceptance
Next, in the Estimates section, you need to configure the estimate confirmation process:
Allow clients to accept/decline the document – check the box to display the “Accept” and “Decline” buttons on the public page
Status – select the estimate statuses in which to display the accept/decline buttons.
Require client signature – enable electronic signature if needed; after confirmation, the client leaves a signature that appears in the event log and at the bottom of the page with the creation date.
Move Accepted / Declined to status – configure the status the estimate transitions to after acceptance or decline. To ensure statuses change correctly, make sure the selected transitions are allowed by system rules.
Save the settings.

Next, you need to set up a notification template to automatically or manually send a message with a link where the client can view the details and accept or decline the estimate.
Step 3. Configure template and notification
1. Go to the Settings > External Notifications > Work orders page in the Templates section.
2. Click the “+ Template” button, fill in the template details and save it.
❗ The text of the message template can be anything, but it must contain the {Public Page URL} variable, it can be found in the Other block. It is this variable that forms the link for the client.
3. Click the "+ Notification" button in the "Estimates" section and fill in the notifications settings.
In the Event field, select Status changed to and choose the status in which you want to send automatic notifications.
4. Select the created message template and save the settings.
How it works
Once the estimate reaches the specified status, the client will receive a notification containing a link to the public page.
The public page will contain all information about the products and services added to the estimate, the manager, the asset, as well as any information enabled during the setup of the public page, as described in the instructions above.
Acceptance, decline of the estimate, as well as the client’s signature, are logged in the event log.
🔍 In addition, you can set up payment button for the order on the order public page immediately after accepting the estimates form.
