How the order exchange between WooCommerce and RO App works

Learn how to effectively synchronize orders, clients, and products in a single system using WooCommerce integration in RO App

After connecting your WooCommerce store, you can work with imported orders, products, and clients directly in the system.

Importing orders

Once synchronization is set up, each new work order from WooCommerce is automatically created in RO App with the work order type you selected during setup. If default values are specified for certain fields in the form for this work order type, and no data is transferred from the platform to those fields, they will be automatically filled in with the default values.

⚠️Important: to work with synchronized orders, employees must have the “Can add products without deduction” permission enabled.

Order data transferred from WooCommerce to RO App:

  • Order number — this data is displayed in the order itself.

  • Creation date — the date the order was created on the WooCommerce platform.

  • Client — the customer's first name, last name, phone number, address and email address.

  • Order items — products added to the order, their quantity, and price.

  • Order amount — the total cost of all products in the order.

☝️ Please note: the currency for products on WooCommerce must match the currency set in RO App. That is, if you are working with products priced in dollars, you should convert them to euros in the WooCommerce product card before adding this product to the order.

Data in a synchronized order in RO App is updated automatically when changes are made in WooCommerce.

❗Orders without added products or clients are not transferred to RO App.

Tax synchronization

The tax type is determined by the “Compound” attribute in WooCommerce:

  • compound taxes in WooCommerce correspond to exclusive taxes in RO App;

  • non-compound taxes in WooCommerce correspond to inclusive taxes in RO App.

Important: Tax synchronization works in one direction only—from WooCommerce to RO App. Tax changes made directly in RO App are not transferred to WooCommerce and do not affect it in any way.

  • If you apply a new mapped tax rate in WooCommerce order or completely delete an existing one, this change will automatically be reflected in RO App during order synchronization. Afterward, you should check the order total in RO App and adjust it manually if necessary, since the calculation is affected by the tax type (nested or applied) and the rate’s priority.

  • However, if you simply edit an existing rate in WooCommerce (for example, by changing the percentage or name), this change will not automatically appear in RO App. In this case, you’ll need to manually adjust the product price in RO App so that the amounts match in both systems.

If you disable a tax in WooCommerce while there are active work orders with that tax applied, it will simply no longer be applied to new work orders. To avoid discrepancies, disable this tax in both systems at the same time—in both WooCommerce and RO App.

Example: How taxes are transferred to RO App

Let’s consider a situation where a product’s price in WooCommerce is listed as 1000.00, and two tax rates are configured: 10% (Compound, set up as an exclusive tax in RO App) and 20% (Not compound, set up as an inclusive tax in RO App).

If “Yes, I will enter prices inclusive of tax” is selected in WooCommerce:

The entered price of 1,000.00 is considered the final price—it already includes both taxes. WooCommerce calculates the net price of the product from it—757.58. Next, a 20% inclusive tax is calculated based on this net price—151.52—and the 10% exclusive tax is calculated based on the total amount (757.58 + 151.52), amounting to 90.91.

In RO App, the item price is displayed as the net price plus the inclusive tax, i.e., 757.58 + 151.52 = 909.10. The 10% tax is added to this amount separately: 909.10 + 90.91 = 1,000.00. The work order total is the same in both systems—1000.00.

If “No, I will enter prices exclusive of tax” is selected in WooCommerce:

The entered price of 1000.00 is considered the net base price of the product, excluding any taxes. The 20% tax is calculated based on this base price and amounts to 200.00. The 10% tax is calculated based on the total amount (1000.00 + 200.00) and amounts to 120.00.

In RO App, the item price is displayed as the net price plus the inclusive tax: 1,000.00 + 200.00 = 1,200.00. The 10% tax is added on top: 1200.00 + 120.00 = 1320.00. This means the total for work orders is now higher than the price of the product you entered—1320.00.

Please note: If “No, I will enter prices exclusive of tax” is selected in WooCommerce, the product price in WooCommerce is displayed without the inclusive (non-compound) tax, while in RO App, the item price is displayed with the inclusive tax already added. Therefore, the price per item will look different in these two systems—this is not a synchronization error, but a feature of how each system displays the product price. The final total for work orders is calculated correctly in both systems.

Order status updates

When the status of such an order is updated in RO App, the status also changes in the same order on WooCommerce according to the configured correspondences between statuses.

The “Completed” status on the WooCommerce platform will not be set if the products in the order in RO App are not written off.

Importing products

All new products with a unique code added to an order on WooCommerce are imported together with the order into the catalog in RO App.

The system compares imported products with those already in your company by the value set in the Identify products by field in the integration settings (name, SKU, or product ID). If the values match, the product is not duplicated.

The product SKU is transferred to the “SKU” field, and the product ID is transferred to the “Code” field. Also, the data in the “Name” and “Description” fields is imported.

For all items, the unit of measurement is set to piece, regardless of the settings in your WooCommerce account.

If the category of the imported product already exists in RO App, the existing one is used; if not, a new one is created.

  • If a category has a hierarchical structure, only the lowest nested category to which the product belongs is used in RO App.

  • If a product belongs to several categories of the same level, the one that is higher in the list of WooCommerce categories is used (the list is formed alphabetically).

  • If the product belongs to categories of different nesting levels, the more general one is used - the one higher in the hierarchy.

Product photos are also imported:

  • Up to 9 photos are imported: one main photo and up to 8 additional photos. If there are more than 9 photos on the platform, the system imports the first 9 in the order in which the platform provides them.

  • If the platform specifically designates a main photo, this designation is preserved during import. If the platform does not designate a main photo separately, the first photo in the transmitted list automatically becomes the main photo.

  • Photos that do not meet the format or size requirements are automatically skipped—this does not affect product creation or the completion of synchronization.

Important: Photo synchronization occurs only once—at the time the product is created. Subsequent changes to photos on the original platform (adding, editing, deleting) are not automatically transferred to the system. Similarly, changes to photos in RO App are not reflected in your WooCommerce store.

Products from WooCommerce are added to the order as items that are not deducted, retaining their quantity and price.

If you edit the quantity of products in an order on WooCommerce before they are deducted in RO App, the data is synchronized and updated in the corresponding RO App order. After writing off, changes are no longer transferred.

Importing clients

Along with the order, the client is also imported into the contact database in RO App. The client's first name, last name, phone number, address, and email are transferred.

If your RO App contact database already has a contact with the same phone number or email, it will automatically be substituted as a client during order import and will not be duplicated.

The client's phone number on the WooCommerce platform is taken from the shipping or billing information in the order itself. If both the email and phone number are missing, the client will not be created and the order will not be imported.
