How Order Sync Works Between Etsy and RO App Systems

Importing Work Orders

This synchronization ensures that work orders created in the last two months (excluding refunded work orders) are transferred to the RO App.

⚠️Important: To work with synchronized work orders, employees must have the “Can add products without deducting stock” permission enabled.

Work order data transferred from Etsy to RO App:

  • Work order number — this data is displayed in the work order itself.

  • Creation date — the date the work order was created on the Etsy platform.

  • Client — first and last name.

  • Work orders — products added to the work order, their quantity, and price.

  • Work order total — the total cost of all products in the work order.

  • Shipping information (if available) — details about shipping for this work order.

☝️ Please note: the currency for products on Etsy must match the currency set in the RO App. This means that if you are working with products priced in dollars, you should convert that amount to hryvnia in the product’s listing on Etsy before adding that product to the work order.

Shipping Information

For shipping services, the data will be transmitted as a comment in the event feed. The name of the shipping service and the recipient’s address will be displayed there.

After changing the shipping details in the Etsy work order, a new comment with the updated information will appear in the event feed.

Importing Products

All products added to a work order on Etsy are imported along with the work order to the Inventory in the RO App.

The system compares imported products with those already in your inventory based on the value set in the Identify products by field in the integration settings (name, SKU, or product ID). If the values match, the product is not duplicated.

The product SKU is transferred to the “SKU” field, and the product ID to the “Code” field. Data is also imported into the “Name” and “Description” fields.

For all items, the unit of measure is set to piece, regardless of the settings in your Etsy account.

If the category of the imported product already exists in RO App, the existing one is used; if not, a new one is created.

Products from Etsy are added to the work order as non-deductible products, retaining their quantity and price.

Importing Clients

When work orders are placed, the client is also imported into the contact database in the RO App. Only the client's first and last names are transferred.
