How to set up integration with Aircall phone system

Learn how to connect Aircall, add extension numbers, and efficiently handle calls right within your work environment

Aircall is a cloud-based business phone system (VoIP) that allows teams to manage calls over the internet and integrate them into their workflow without any physical hardware.

Streamline your customer communications by connecting Aircall to RO App. This integration allows you to handle calls directly within your workspace and automatically identify customers with incoming call cards. While you manage your essential workflow in RO App, you can also benefit from Aircall’s native advanced features, such as AI-powered call summaries and sentiment analysis, alongside core tools like:

  • IVR (interactive voice menus),

  • Call Forwarding,

  • Call Queuing,

  • Warm Transfer

  • automated call routing etc.

By centralizing these core tools and AI-driven insights, you ensure every call is handled professionally and efficiently without the need for complex hardware.

Please note: you must already have a working Aircall account with connected phone numbers to integrate it with RO App.

Step 1. Log in to your Aircall account

1. In RO App, go to Settings > Telephony.

2. Click + Provider and select Aircall and click Connect.

3. You will be redirected to a new window, where you need to log in to your Aircall account and authorize RO App to connect to it.

4. Add the Aircall phone numbers you plan to connect to your RO App integration: click Add numbers, select the ones you want to use, then tap Confirm.

5. Once done, click Add numbers to continue.

Step 2. Add extension numbers

For the integration to work correctly and display incoming call cards to the right employees in RO App, make sure to add your Aircall agents' extension numbers and grant access to the corresponding users in RO App.

An extension number in Aircall is a three-digit number that allows callers to reach a specific user directly. Every user in Aircall is automatically assigned a unique three-digit extension (001, 002 etc.) when their account is created.

You can customize or change these extensions at any time from the Aircall Dashboard - make sure they're unique as no two users can share the same extension.

To add extension numbers to Aircall integration:

1. Click the + Extension number button.

2. In the Extension number field enter user’s extension number.

3. In the Display name field, enter the name you want this extension number to have. It will be displayed on an incoming call card and in the Calls table.

4. Configure the access for employees.

5. Save the settings.

How to find extension numbers in Aircall Dashboard?

1. Go to Users & Teams > All users.

2. Find the user you need and open their profile.

3. In the General tab, go to Profile settings block - the extension number is displayed there.

What if I use Teams in Aircall?

If you have Teams configured in Aircall, simply add each of the team member’s extension number to RO App and ensure you grant access to all employees who are part of that group. This ensures that everyone in the team sees the incoming call card simultaneously.

Step 3. Enable integration

Tick the Integration enabled checkbox and press Save to finish the setup.

Done! Your integration with Aircall is set up and running.

Now, if everything is done correctly, you will see the dropdown list of available phones when hovering over the client number. When your phone receives a call, the incoming call card appears in the bottom right corner of RO App page.

FAQ

Can I add extension numbers after installing the integration?

Yes, you can. However, doing this later may affect how the integration works.

If extension numbers aren’t set up from the start:

  • The incoming call widget may not work correctly for employees.

  • It won’t be possible to track which employee handled the call.

  • As a result, automations may not work as expected or may produce inaccurate results.

So it's better to do that while enabling the integration or before you start processing the calls.

Can I make outgoing calls directly from RO App?

Yes. Once the integration is enabled, you can hover over contact’s phone number in RO App to see a dropdown list of available Aircall lines. Clicking the number will initiate the call through your VoIP app (softphone).

Why am I not seeing the incoming call card?

First, ensure the "Integration enabled" checkbox is ticked in integration settings. Second, verify that the employee has been granted access to that specific extension number.

Will call logs and recordings be automatically saved to the client's profile?

Yes, call history is tracked in the Calls table.

What should I do if I change a user's extension in Aircall?

If you update an extension number in the Aircall Dashboard, you must manually update the corresponding "Extension number" field in RO App Settings to ensure calls continue to sync correctly.
